Join Our Team as Payroll & Bank Officer!

We are seeking a proactive, detailed oriented and dependable individual to join our team as Payroll & Banking Officer. Reporting to the Accountant, you will play a crucial role in ensuring the timely and accurate processing of fortnightly and monthly payroll for employees, handling payroll related inquiries, and maintaining accurate records whilst ensuring statutory compliance. The Payroll & Bank Officer is also responsible for reconciling all company bank accounts and accurately processing and recording all bank financial entries and providing support to various departments requiring banking information.

Key Responsibilities:

As Payroll & Bank Officer, your duties will include:

Transactional Finance

  • Process bi-weekly or monthly payroll for all employees, including salaried, hourly, and commission-based staff.
  • Ensure accurate calculation of wages, overtime, deductions, bonuses, and benefits.
  • Maintain payroll records, including hours worked, time-off requests, and pay adjustments.
  • Prepare and distribute paychecks or direct deposits on time.
  • Review timesheets for accuracy and resolve discrepancies.
  • Respond to payroll-related and banking inquiries from employees or stakeholders and resolve issues in a timely manner.
  • Administer tax withholding and other deductions, ensuring compliance with all applicable laws.
  • Generate payroll reports, tax filings, and year-end reporting.
  • Assist with the preparation of payroll audits and provide supporting documentation.
  • Support HR and Accounting departments with any payroll-related or banking matters.
  • Accurate and timely processing of bank financial entries.
  • Timely solution of bank reconciliation reconciling items.
  • Communication: Internal and external interaction with stakeholders ensure timely clarification and solutions of discrepancies for both banking and payroll functions.

Coordinate with HR to update employee information, including new hires, terminations, and changes in compensation.

Financial Close

  • Reconciliation of all company’s bank accounts prior to period close.
  • Ensure that all financial bank entries are processed during the correct financial period.
  • Preparation of all payroll journal entries to ensure posting within the financial period.
  • Drive continuous improvement within the Banking and Payroll Function
  • Stay up-to-date on industry changes and trends related to Payroll and Banking
  • Ensure compliance with the labour laws and tax regulations of St. Lucia.
  • Assist with other administrative tasks as necessary or assigned by the Accountant.

Control, Compliance and Risk Management

  • Drive continuous improvement within the Banking and Payroll Function
  • Stay up-to-date on industry changes and trends related to Payroll and Banking
  • Ensure compliance with the labour laws and tax regulations of St. Lucia.
  • Assist with other administrative tasks as necessary or assigned by the Accountant.

Requirements:

We are looking for candidates with:

  • Strong understanding of payroll procedures, tax laws, and benefits administration.
  • Familiarity with the labour laws and tax regulations of St. Lucia.
  • Strong attention to detail and accuracy
  • Excellent organizational and time-management skills
  • Good communication skills (written and verbal)
  • Ability to work independently and as part of a team
  • Proficient in Microsoft Office, particularly Excel
  • Knowledge of basic accounting principles
  • Proficiency with payroll software (e.g. Smart Pay, UKG) would be an asset

Educational Background and Experience

  • Education: 2A Levels, Associate’s degree in Accounting, Finance, Business Management or related field.
  • Experience: Proven experience as a Payroll Clerk, Payroll Administrator, or similar role.
