The ideal candidate is professional, polite, and attentive while also being accurate. The Administrative Assistant should always be prepared and responsive. He/She must be comfortable with computers, general office tasks, and excel at both verbal and written communication.
The Administrative Assistant is required to assist management by handling office tasks, following up with clients on A/R related matters, providing polite and professional assistance via phone, and e-mail, making reservations or travel arrangements, and generally being helpful and positive.
Duties/Responsibilities
- Provides administrative support to ensure efficient office operations.
- Communicates with clients via phone and email for A/R and pickups.
- Responds to emails and other digital queries and correspondence.
- Manages calendars for senior staff, including making travel arrangements.
- Drafts and edits letters, reports, and other documents as needed.
- Inputs and updates information in databases and spreadsheets.
- Uses word processing and presentation software to create and edit documents.
- Researches as requested and compiles and summarizes information for reports or presentations.
- Works closely with other administrative staff and supports other colleagues as needed.
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
- Ensures that deadlines are met and adapts to changing priorities.
- Presents a positive and professional image for the organization.
Education, Experience, Skills
- High school diploma or equivalent; associate’s degree preferred
- 2+ years of experience as an Administrative Assistant or similar role
- Proficiency in Microsoft Office, Google Workspace or a similar business suite for communication and collaboration
- Ability to create and analyze Pivot Tables
- Written and verbal communication skills for interacting with clients and staff
- Attention to detail to ensure accuracy with data entry, document preparation and report generation
- Advanced math skills for bookkeeping and budgeting
